For example, if the ceiling is over 10-ft high, and you’re planning on having a speaker in front of more than 30 people, you’ll definitely need to include a stage riser in your space calculation so people in the back can see everything. Risers can be as large as 8x8 ft. You’ll also need space for a projector as well as some kind of backing, such as a curtain.

4 Room Styles

It combines the flexibility of theater seating, with the functionality of banquet seating, since each row of chairs will have a long table. This means your attendees can take notes, use a laptop, have coffee, a light snack, or even lunch without leaving the room.

3. Banquet Rounds

A banquet-style setup works great in large spaces, allowing for meal options, as well as guaranteeing a comfortable work area for all participants. Take into consideration that each table must be set up at half capacity since your participants will need to face the stage.

U-Shape

Three tables are put together to form a large “U”, with attendees facing the stage. This style encourages interaction between your attendees and the speaker. The setup works best for smaller meetings, since it takes up the most square feet per attendee.

TIP: Bigger isn’t always better when it comes to meeting space. A large space can cause some attendees to become distracted or lose interest, so choose wisely and strategically.

Remember, if you’re planning to serve food and have water and/or coffee stations, you’ll need to include space for that in your room setup.
